Your privacy matters.

CLEARED. Business Support (“CLEARED.”, “we”, “us” or “our”) respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains how we collect, use, store and protect personal information when you visit our website, contact us, make an enquiry or engage our services.

CLEARED. Business Support is operated by Charlotte Southward as a sole trader in the United Kingdom.

For personal information where CLEARED. determines how and why that information is used, CLEARED. is the data controller.

01 — Information we may collect

Depending on how you interact with CLEARED., we may collect:

Contact information
Your name, business name, email address, telephone number and other contact details.

Enquiry information
Information you provide when completing our contact form, emailing, calling or otherwise contacting us.

Client information
Information required to provide our services and manage our relationship with you, including business details, correspondence, instructions, records of work and information relating to the services provided.

Financial and transaction information
Information relating to invoices, payments and accounting records. We do not intentionally collect or store full payment-card details.

Website and technical information
Information about how you use our website, which may include your IP address, browser or device information and website usage information where collected through cookies or similar technologies.

Please see our Cookie Policy for further information.

02 — How we use your information

We may use your personal information to respond to enquiries; communicate with you; provide and manage our services; establish and manage client relationships; carry out work you have asked us to undertake; issue invoices and maintain financial records; manage our business administration; improve our services and website; maintain the security of our systems; comply with legal, regulatory and tax obligations; and establish, exercise or defend legal claims where necessary.

We will only use personal information where we have a lawful basis for doing so.

Depending on the circumstances, this may include:

Contract — where processing is necessary to provide services to you or take steps at your request before entering into a contract.

Legitimate interests — where processing is reasonably necessary to operate and develop CLEARED., communicate with clients and prospective clients, or protect our business, provided those interests do not override your rights.

Legal obligation — where processing is necessary to comply with a legal or regulatory requirement.

Consent — where we rely on your permission, for example for certain marketing communications or non-essential cookies where applicable.

The lawful basis and purposes of processing are among the information the ICO says organisations should provide to individuals. ICO

03 — Information we process on behalf of clients

As part of providing outsourced business support, CLEARED. may have access to or process personal information relating to a client's customers, suppliers, employees or other contacts.

Where a client determines why and how that personal information is processed and CLEARED. processes it on the client's documented instructions, the client will generally act as the data controller and CLEARED. as the data processor.

In these circumstances, we will process personal information in accordance with the client's documented instructions, our agreement with the client and applicable data-protection law.

Where CLEARED. acts as a processor, appropriate data-processing terms will form part of our contractual arrangements with the client. UK GDPR requires a written contract or other binding legal arrangement when a controller appoints a processor. ICO

04 — Sharing your information

We do not sell your personal information.

We may share personal information with trusted third-party service providers where reasonably necessary to operate CLEARED. or provide our services.

These may include providers of website and hosting services, business email and communications, accounting and bookkeeping software, cloud storage and document management, customer relationship or business management systems, and other technology used to provide or administer our services.

We may also disclose information where required by law or where reasonably necessary to establish, exercise or defend our legal rights.

05 — International transfers

Some technology or service providers we use may process or store personal information outside the United Kingdom.

Where personal information is transferred internationally, we will take appropriate steps to ensure the transfer complies with applicable UK data-protection law and appropriate safeguards are in place where required.

06 — How long we keep your information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing our services, maintaining appropriate business records and meeting legal, accounting and tax obligations.

Different types of information may therefore be retained for different periods.

When personal information is no longer required, we will take appropriate steps to securely delete or anonymise it.

07 — How we protect your information

We take appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Access to personal information is limited to those who reasonably require it for legitimate business purposes.

While no method of electronic transmission or storage can be guaranteed to be completely secure, we take reasonable measures to protect the information entrusted to us.

08 — Marketing

We may contact existing clients or people who have expressed an interest in CLEARED. where permitted by law.

Where consent is required for marketing communications, we will obtain it before sending them.

You can ask us to stop sending marketing communications at any time by contacting hello@clearedsupport.co.uk or using any unsubscribe option included in the communication.

09 — Cookies

Our website may use cookies and similar technologies to operate correctly and, where enabled, understand how visitors use the website.

Where consent is required for non-essential cookies, these will not be used unless the necessary consent has been provided.

Please see our Cookie Policy for more information.

10 — Your data-protection rights

Depending on the circumstances, UK data-protection law may give you rights in relation to your personal information, including the right to:

  • request access to personal information we hold about you;

  • ask us to correct inaccurate or incomplete information;

  • request deletion of your information in certain circumstances;

  • request restriction of processing in certain circumstances;

  • object to certain uses of your information;

  • request transfer of certain information in a portable format; and

  • withdraw consent where processing is based on consent.

These rights are not absolute and whether they apply will depend on the circumstances and the lawful basis on which your information is processed.

To exercise your rights, contact hello@clearedsupport.co.uk.

The ICO requires privacy information to explain the rights available to individuals and the right to withdraw consent where applicable. ICO

11 — Complaints

If you have concerns about how CLEARED. uses your personal information, please contact us first so we can try to resolve the matter.

You also have the right to make a complaint to the Information Commissioner's Office (ICO), the UK's independent data-protection regulator.
